Materials management that works on site.

Book consumables, PPE and tools with a barcode scan – instead of a note on the rack and a spreadsheet in the office. Scanwiz keeps the stock current while your team simply works.

In short

Materials management in the trades means every item has a barcode, a storage location and a current stock level. With Scanwiz your team books goods receipts, withdrawals and transfers straight by scan – in the workshop, the store, a vehicle or out on site. The stock updates itself as people work, instead of somebody maintaining a spreadsheet in the evening.

The difference

An end to chaos in the materials store.

Less searching, counting and chasing people on the phone: the very transactions that eat time today happen along the way with digital materials management – documented, traceable, without the paperwork.

The 10 mm wall plugs are gone – and the site found out, not the store.

The minimum stock speaks up before the rack is empty – the item lands on the shopping list by itself.

A note on the rack, a spreadsheet in the office – the truth sits somewhere in between.

Every withdrawal is booked by scan – one stock level that the store, the office and the site all trust.

Who received which PPE in which size is known only to the storeman – from memory.

Sizes, variants and handouts are documented per person – traceable instead of remembered.

Stocktaking means counting all weekend while the business stands still.

Counting happens in the app during ongoing operations – with tolerance checks and differences posted directly.

In everyday use

This is what materials management looks like in Scanwiz.

Five views from the real application – from the stock overview and the scan on site through to replenishment and stocktaking.

Stock & locations

Workshop, store and vehicle in one overview

Every row shows the item with its location, quantity and value. Expand it and you see how the stock is spread: what sits on the rack, what is in the van and what is currently needed on site – all in one view instead of three separate lists.

  • Rack, cabinet, box, vehicle and site box as storage locations
  • Unlimited storage locations in one clear structure
  • Every movement traceable with time, user and quantity

On site

Scan instead of write – even without reception

Open the app, scan the barcode, confirm the quantity: the withdrawal is booked before the note would even have been written. And without a connection everything is captured locally and synced automatically later – basements, underground car parks and site containers are the normal case, not the exception.

Replenishment

What runs low is on the list before it is missing

Every withdrawal lowers the stock – and as soon as an item falls below its minimum it appears on the shopping list, grouped by supplier. Scanwiz suggests the order quantity, you adjust it and send it out. No note on the rack, no “somebody should have said something”.

  • Minimum stock per item, per variant and per storage location
  • A suggested order quantity you can adjust before sending
  • No more missing material on site, in the workshop or in the store

Assign by scan

Who has what? One scan – and it is in the system.

Scan a tool, a machine or a piece of PPE and assign it straight to a person, a vehicle or a construction site. The return works the same way: scan, done. On the item profile you see at any time who has what and since when – including the full history.

  • Handout and return by scan – no forms
  • Assignment to a person, vehicle, site or project
  • History per item: who, what, when – permanently on record

Stocktaking & reporting

Stocktaking during operations – no standstill

Counting happens in the app right at the rack, with tolerance checks and differences posted directly. The reporting functions let you analyse stock movements, withdrawals and stock development – making consumption per team, site or cost centre transparent.

  • Digital stocktaking including tolerance checks and direct posting
  • Spot shrinkage and plan replenishment in good time
  • Analyse consumption per team, site or cost centre

One platform

Web app, mobile app and scanner – one stock.

Whether at the computer in the office, on a phone out on site or with a hardware scanner at goods receipt: everyone works on the same stock. Cloud-based, set up in minutes and made for small and large teams alike.

2

Book by scan

Staff book goods receipts, withdrawals and transfers directly in the app. Sizes, variants and versions stay cleanly separated – errors when reordering and handing out drop noticeably.

3

Analyse & reorder

Stocktaking with tolerance checks and direct posting, reporting on movements and stock levels: you see early what is running low and trigger replenishment in a few clicks.

Customer quotes

Scanwiz brings order to the materials store – for small and large teams alike.

4.9 out of 5 stars from over 120 verified customer reviews.

“Scanwiz has noticeably simplified how we manage consumables and PPE. With barcode scanning, we record goods receipts and issues in seconds and always have a clear overview of stock levels and storage locations. The simple stocktake is especially helpful because it works during ongoing operations without bringing everything to a halt. The system runs stably and reliably—and we save a noticeable amount of time every month on documentation and reordering. A clear recommendation for trades and industry that want to keep their materials inventory under control.”

Stefan Kapse Stefan KapseLaumann Carpentry & Roofing

“We’ve noticeably professionalized our materials management in maintenance and made it significantly more transparent. The clean mapping of variants (e.g., sizes, versions, and standards for PPE, as well as dimensions for C-parts) in particular reduces mix-ups and ensures reliable traceability in day-to-day work. With continuous inventory tracking, we’ve shortened search times and made material flows easier to plan. Support is also fast and pragmatic overall—a real relief for the entire team.”

Moritz Winterbach Moritz WinterbachWinterbach Engineering

“Since introducing Scanwiz, we’ve had materials management in our operation much better under control: stock levels are always traceable, issues and goods receipts are properly documented, and the analyses help us with replenishment and deployment planning. In day-to-day work, this saves noticeable time, reduces back-and-forth between the warehouse, job site, and workshop, and makes processes more reliable for the whole team.”

Frequently asked questions

Answered briefly.

What is materials management – and what does it cover?

Materials management covers capturing, booking and analysing material: consumables and C-parts, PPE and workwear, spare parts and tools. Every item gets a barcode and a storage location; goods receipts, withdrawals and transfers are booked by scan. That keeps stock levels, locations and movements traceable at any time.

Which businesses is Scanwiz suited to?

Trades businesses and industrial companies of any size – from a small team to an operation with several sites, vehicles and construction projects. Users and storage locations are unlimited in every plan, so the whole team can book along.

Does Scanwiz work without reception on site?

Yes. In offline mode bookings are captured locally and transferred automatically as soon as there is a connection again – ideal for basements, underground car parks and site containers.

Which barcodes and scanners can I use?

Scanwiz supports common barcode formats. Labels you already have (from a wholesaler, for example) can stay in use, or you print your own codes. Scanning works with the phone camera in the Scanwiz app or with hardware scanners you already own.

How do I handle PPE in different sizes?

Through variants: gloves, helmets, safety glasses and high-visibility clothing can be kept separately in every size and version (S–XXL, standards, and so on). Handouts to staff are documented per person as well.

Can I assign tools to individual people or vehicles?

Yes. Tools, machines and devices can be kept as individual objects and assigned to people, vehicles, sites or projects by scan – and taken back the same way. More about it on the page for equipment management.

How do I get my existing stock into the system?

Through the Excel import: items, categories, storage locations and opening balances can be taken from a spreadsheet, so you do not start from zero. After that the stock keeps itself current through the daily scans.

What does Scanwiz cost for a trades business?

Plans start at $49 per month for up to 500 items (Starter); Growth costs $165 per month for up to 2,000 items, with a 10% discount for annual payment. You can try it beforehand free and without obligation – no credit card, cancel any time.
