Batches & expiry dates

Both track batches. The way there is different.

Wawibox takes over batch numbers and shelf-life dates at goods receipt and prints batch labels on request. Their barcode can be transferred with a scanner into practice software such as DS-Win, Z1, Charly or Evident – a real strength for patient-related documentation in dental practices.

In Scanwiz, every batch is its own stock with expiry date, location and purchase price. When you scan the manufacturer’s pack, the batch is recognised and booked along with it. In a recall, you see which person, room or project received something from the batch.

Beyond the materials store

A practice holds more than consumables.

Wawibox focuses on materials that are bought and used up – with price comparison, ordering platform and documentation. For equipment, inspection dates or material requests, Wawibox doesn’t describe any features.

Scanwiz keeps all of that in one system: consumables with batches, equipment assigned to people or rooms, maintenance with reminders and records. Anyone who books doesn’t need their own license.

  • Issue, take back and track equipment and assets
  • Inspection dates that flag themselves – with records on the object
  • Query your stock via an AI assistant (AI Connect, MCP)

Costs per year, list prices

PlanYear 1

Wawibox Pro with hardware packageplus €349 for iPhone, printer, labels€1,006.80
Scanwiz Starterup to 500 items, no batches · $529.20 billed annually$588
Scanwiz Growthup to 2,000 items, with batches · $1,782 billed annually$1,980

From year 2, the Wawibox setup fee no longer applies: €358.80 per year. Wawibox according to its pricing page[1]. Scanwiz in US dollars, Wawibox in euros, without conversion.

Costs

On running costs, Wawibox is cheaper. That belongs here too.

Wawibox Pro costs €29.90 a month. On top come a one-off €299 for setup and – if there’s no suitable iPhone and Dymo printer – €349 for the hardware package. For a dental practice that documents batches, Wawibox is therefore cheaper in year one than Scanwiz Growth.

What you pay more for with Scanwiz: no dedicated hardware and no label printing for withdrawals, stocktaking by scan, equipment and inspection dates in the same system, API and AI integration. And you can test for 14 days first whether it works in your day-to-day.

Decision guide

Which tool suits you?

An honest comparison also says when the other tool is the better choice.

Scanwiz fits if …

  • you want to scan manufacturer barcodes instead of printing Wawibox labels.
  • your team works with Android, iPhone or existing scanners.
  • you want to test first – 14 days, no credit card, no setup appointment.
  • equipment, inspection dates and material requests should go into the system alongside materials.
  • stocktaking should run at the shelf by scan, including blind counts.
  • you work outside dentistry: medical practice, care, lab or the businesses behind them.

Wawibox may fit if …

  • you run a dental practice or dental lab and purchasing takes up most of the time.
  • prices should be compared across many dental depots and online retailers.
  • batches should be transferred by label into DS-Win, Z1, Charly or Evident.
  • you want guided setup and are happy working with an iPhone and a label printer.
  • the lowest monthly price is what tips the balance.

Both work: the Wawibox marketplace is free.

Any practice can use the price comparison in Wawibox’s Basis plan free of charge.[1] If you buy there and run your stock in Scanwiz, you order at a good price via the marketplace and book the delivery into Scanwiz by scan. There’s no technical connection between the two; you use them side by side.

Switching from Wawibox

Move without relabelling.

Your item list from Wawibox is the template for Scanwiz. In the Growth plan, we set up categories, locations and the first profiles with you during personal onboarding.

  1. 01

    Export

Wawibox exports your item list with name, stock and packaging unit.[9]

  2. 02

    Import

You bring in items, categories, locations, quantities and values via Excel import.

  3. 03

    Scan

Manufacturer barcodes work straight away. Where there’s none, you print QR labels for items or locations.

  4. 04

    Count

The first stocktake in Scanwiz doubles as your opening balance – per batch and location.

FAQ

Scanwiz or Wawibox – answered briefly.

Is Scanwiz an alternative to Wawibox?

Yes, with a different focus. Wawibox combines a price comparison for dental supplies with the Wawibox Pro materials management. Scanwiz is inventory management for materials, equipment and inspection dates that works with any smartphone and with manufacturer barcodes. Both track batches and expiry dates and host in Germany.

How much does Wawibox Pro cost compared with Scanwiz?

According to its pricing page, Wawibox Pro costs €29.90 a month, plus a one-off €299 for setup and an optional €349 for a hardware package. Scanwiz starts at $49 a month for up to 500 items (Starter); batches and expiry dates are included from Growth at $165 a month. On running costs, Wawibox is cheaper; in return, Scanwiz includes stocktaking by scan, equipment management and inspection dates, among other things, and needs no dedicated hardware.

Do I need an iPhone and a label printer for Scanwiz?

No. Scanwiz runs on iPhone and Android, on tablets and in the browser; existing USB or Bluetooth scanners keep working. You can scan manufacturer barcodes such as EAN, GS1-128 or Data Matrix directly. You only need QR labels for items without a code or for locations. According to its system requirements, Wawibox Pro works with an iPhone or iPod touch and a Dymo label printer.

Can both document batches and expiry dates?

Yes. Wawibox advertises its batch documentation as MDR-compliant and offers batch labels for practice software such as DS-Win, Z1, Charly and Evident. From Growth, Scanwiz keeps every batch with its own stock, expiry date, location and purchase price and shows in a recall who received which batch. Whether that is enough for your specific regulations, we’re happy to look at together with you.

Can I try Wawibox Pro first?

According to Wawibox, no: only the free Basis plan is freely accessible; a consultant shows the Pro version in a demo. You can test Scanwiz free for 14 days with no obligation, no credit card and no setup appointment.

Where is the data stored with Wawibox and with Scanwiz?

Both in Germany. Wawibox states Germany as its server location; Scanwiz is hosted in certified data centers in Germany and operated in compliance with the GDPR.

Do both work without an internet connection?

Yes. The Wawibox Pro Scan app switches to offline mode automatically and syncs withdrawals later; according to its help center, expiry checks and notifications aren’t available offline. In Scanwiz, scans and bookings are captured locally offline and transferred automatically once there’s a connection again – including during stocktaking.

Can I switch from Wawibox to Scanwiz?

Yes. Wawibox exports your item list with name, stock and packaging unit. You bring it into Scanwiz via Excel import, scan the manufacturer barcodes from then on and use the first stocktake as your opening balance.

Can I keep using the Wawibox price comparison?

Yes. The Basis plan with marketplace and price comparison is free at Wawibox. You can buy there and run your stock in Scanwiz. There’s no technical connection between the two.
